Managing your team

Everything an owner or admin does to set up and run a team workspace — creating it, billing, invites, roles, and deletion. · Optional · Team plan

Read this if you're the one running a team. If you've just been invited to join one, see Joining a team instead. Creating a team needs the Team ($79/mo) or Enterprise ($199/mo) plan on your own account — start with the prerequisite below.

Before you start: the prerequisite

You must already be on the Team or Enterprise plan personally before you can create a team. Creating a team is the one action gated on your own subscription — everything after that (reading, joining, editing) is gated on membership instead, which is why a teammate can sit on Free.

Below Team, the button on the Teams page reads Upgrade to create a team and takes you to pricing. If you get as far as submitting the dialog, creation is refused with "Team workspaces are available on the Team and Enterprise plans. Upgrade to create one." So the order is: upgrade your personal plan → create the team → start the team's own subscription.

⚠️ Watch out: The team's subscription is separate from the personal one that let you create it. Upgrading yourself to Team doesn't pay for the workspace; the team is billed on its own.

Creating a team

  1. Click your profile avatar → Teams (or open /team).
  2. Click Create team.
  3. Give it a name (e.g. "Acme Inc." or "Mobile app crew") and click Create team.

You become the first owner, and you land on the team's settings page. The team gets a URL-safe slug (e.g. acme-inc) used in /team/<slug>/... URLs. You can rename the team later in Team settings → Name — the slug stays the same, only the display name changes.

Starting your team subscription

A freshly-created team has no active subscription of its own — the Billing card shows Inactive — so it can't use any budget or team-only features. Start billing before inviting people:

  1. In Team settings, find the Billing card.
  2. Click Start subscription.
  3. You're redirected to Stripe Checkout — enter your card and complete it.
  4. You bounce back to team settings with the subscription active.
  • The Team plan is a flat $79/month on the owner's card via Stripe.
  • Enterprise ($199/mo) is arranged via sales — email support@vibemap.ai to upgrade a team.
  • Promo codes work at checkout, but only one per subscription (they don't stack).
  • Cancel anytime from the Stripe customer portal; access lasts until the end of the billing period.

Inviting members

Once the subscription is active:

  1. Open Team settings → the Invite members card.
  2. Enter the teammate's email.
  3. Pick a role — Admin or Member (see roles).
  4. Click Send invite.

The invitee gets an email with a one-click Accept invitation button. The link is valid for 7 days; if they miss it, just invite again.

💡 Tip: You can invite people who don't have a VibeMap account yet. They'll be prompted to sign up when they click the link, and membership is granted automatically after signup.

Tracking pending invitations

The Pending invitations card lists every invite not yet accepted or expired. You can see the target email and expiry, revoke an invite (revoked links die immediately, even before expiry), or re-invite by sending a fresh one.

Managing existing members

The Members card lists every active member. Owners and admins can:

  • Change a role — use the dropdown to switch between Admin and Member; effective immediately. The owner role is reserved (use Transfer ownership).
  • Remove a member — click Remove next to a non-owner. They lose access to all team projects at once; their personal account and projects are untouched.

You can't remove yourself this way — use Leave next to your own name. Owners can't leave; they must transfer ownership first.

Transferring ownership

Only the current owner can transfer ownership. This is currently handled by support: email support@vibemap.ai with the new owner's email and the team name. After transfer, the previous owner becomes an admin, and the new owner's card is the one on file for billing.

Deleting a team

Deletion is owner-only, and — like ownership transfer — it isn't self-serve yet: there's no delete button on the settings page. Email support@vibemap.ai from the owner's address. When a team is deleted:

  • All members are removed.
  • Every project the team owns is permanently deleted — there is no undo.
  • Personal projects members created on their own accounts are untouched.
  • The Stripe subscription is not cancelled as a side effect — cancel it separately from the Stripe portal, or you'll keep paying for a team that no longer exists.

⚠️ Watch out: Deletion is irreversible. If you only want to stop paying, cancel the subscription via the Stripe portal instead — the team and its projects stay put.

Billing

  • Where it lives. Team billing is separate from any personal subscription. Payment method, invoices, and the billing portal all live on the team settings page, not on your personal Billing page.
  • Who can change it. Only the owner and admins. Members see the Billing card but can't start, change, or cancel.
  • Budget enforcement. Tokens spent on team projects count against the team's shared monthly budget. If it's exhausted, every member is blocked from new generations on team projects until the next window — though everyone can still read and edit. Personal projects draw on each member's own personal budget, independently.
  • Invoices. Stripe emails invoices to the payment method's address; download full history (PDFs) from the Stripe portal via the Billing card.

Switching workspace context

/team lists every team you belong to. Clicking one opens its settings at /team/<slug>/settings — billing, members and invitations. Your own projects stay in the projects list at /project (or click the VibeMap logo top-left).

💡 Tip: There's no workspace switcher yet, and a team's page today is its settings page — see the known gap on shared project ownership. Which budget a generation spends is decided by the project it runs on, not by where you navigated from.

⚡ Power-user hints

  • Spread admin duty. Two or three admins keep invites, role changes, and billing from bottlenecking on the owner.
  • Revoke, don't delete. To stop spend without losing the projects, cancel the subscription rather than deleting the team.

↔ The traditional way

Onboarding a collaborator normally means provisioning a seat in every tool, sharing a folder, and hoping permissions line up. Here it's a single email invite scoped by role, and one shared budget — no per-tool seat management.
